Key Finding

Only ~2,722 of 3,415 contacts are fully reachable by both email and SMS. The 409 contacts with no email missed every campaign. Sean’s instinct is correct — not everyone in the database was being reached.

Industry average for home services email is 20–25%. Sean’s campaigns ranged from 23.4% to 37.8% — all at or well above average. The campaigns that did reach people performed well. The problem is reach, not content quality.

Detailed SMS metrics (sent, delivered, responded) are tracked inside the CRM under Automation → Workflows → [Workflow Name] → Reporting. They are not available through the email reporting API and should be pulled separately to complete this picture.

Section 5 — Direct Answers to Sean’s Questions

Q1 — "Are there really 3,400 emails and phone numbers on file?"
No. The accurate breakdown: 3,006 contacts have an email (88%), 3,131 have a phone (91.7%), and only ~2,722 have both. 409 contacts have no email and missed every email campaign ever sent.
Q2 — "Why am I getting 3,400 bounce backs saying do not reply?"
Total hard bounces (delivery failures) across all three email campaigns were only 420 — not thousands. The "do not reply" messages are automated responses generated when customers hit reply on a campaign email. Because the emails were sent from personal addresses (seanmason@hotmail.ca, bmchimneycleaning@gmail.com), replies come back directly to Sean’s inbox as "do not reply" auto-responses. This is a sign people are engaging, not a delivery failure. Switching to a dedicated business domain email would resolve this.
Q3 — "Why do long-time customers say they were never contacted?"
This is valid. The most recent email campaign reached 2,111 contacts — approximately 1,300 contacts per campaign were not included. Primary causes: 409 contacts have no email on file, 52 contacts have accumulated unsubscribes, and campaign send lists may have been filtered to a subset rather than the full database.
